# Introduction to CRM

> Follow up potential patients (leads) from first contact until they book, with journeys, stages and assignment to your team.

The **CRM** helps your team follow up **leads**: people who contacted the clinic but aren't patients yet. Each lead moves through the **stages** of a **journey**, for example New → In Progress → Scheduled → Converted, until they become a patient or are rejected.

## 🧩 Key terms

| Term | Meaning |
| - | - |
| **Lead** | A potential patient, with name, phone, source, deal size and score |
| **Journey** | A pipeline of stages, shown as a board. Clinics usually have **Sales**, **Follow-Up** and **Lost** |
| **Stage** | A column of the journey, such as New or Scheduled. Each stage can have a maximum number of days and assigned users |
| **Reject Reason** | Why a lead was lost, for example Price or No Response |

## 📍 Where to find it

When CRM is enabled for your clinic, **CRM** appears in the side menu with **Leads** and **Reminders**. Setup is in **Settings → Leads**.

  CRM is enabled for your clinic by Dentolize. Contact support if you don't see it. Each user also needs the **Leads** permissions in their permission group.

## 📥 Where leads come from

* Added manually by your team.
* The **WhatsApp Bot**, when a new number messages you (including from Click-to-WhatsApp ads).
* **Lead QR Links**: a form patients fill in from a QR code or link.
* An Excel import (clinic owner).

A lead is a patient file in a "lead" state. When they're ready, **Convert To Patient** turns the same file into a patient, keeping all its notes.
